How to choose jewelry inventory software

Most inventory tools were built for boxes on a shelf. A jeweler needs something built for serialized, high-value, one-of-a-kind pieces — and the loose stones and metal behind them. Here’s what actually matters.

1. Serialization, not just SKUs

A ring and a loose 1.5ct diamond aren’t “10 units of SKU-123.” They’re individual assets with their own cost, photos, certificates and history. If a tool can’t give every piece a unique serial and track it individually from intake to sale, it will fight you forever. This is the single most important test.

2. Loose stones and metal

Can it hold a loose diamond by carat, cut, color, clarity and certificate — and then consume that stone when you set it into a mounting, so it doesn’t double-count? Can it track gold and platinum by weight and purity, including scrap? If your stones and metal live in a separate spreadsheet, your numbers will never reconcile.

3. Cost, margin and aging

Landed cost and live margin per piece are table stakes. Aging is the quiet money-maker: a good system shows you what has sat for 90, 180, 365 days so dead stock surfaces itself instead of hiding in a corner of the safe.

4. Memo and consignment

If you send pieces out on memo or hold others on consignment, that status has to live on the same record as the item — not a notebook. Losing track of a piece on memo is one of the most expensive mistakes a dealer makes. (More on that in memo vs consignment.)

5. Does it sell, or just count?

Counting stock is half the job. The best setups let the same record drive a branded storefront, a point of sale and invoicing, so you enter a piece once and it flows everywhere. A counting tool that doesn’t connect to how you actually sell just becomes another silo to reconcile.

6. Your data, your brand

Prefer a system on your own domain, with your branding, where the customer relationship is yours — not a marketplace that rents you access to your own clients. Clean exports matter too, so your accountant isn’t held hostage.
